WS01: CINDEX: I/O Methods and Techniques (Half Day)
Level: Advanced
This workshop will focus on how to incorporate other softwares, utilities and techniques in the preparation of your index with CINDEX. The overall focus will be on saving time and effort. Join us as we guide you through the ins and outs of index preparation with CINDEX.
First, we will explore creative methods for gathering and importing data for index entries. Our objective is to show you how to spend less time on the input process by importing the last edition's index, gleaning data from PDF files, capturing entries from text, database or spreadsheet files, transporting index files across platforms and between different indexing applications, and repurposing bibliography files for author indexes.
Second, we will provide solutions for how best to backup and archive your work, show ways in which CINDEX can complement the embedding process, and how to export your finished indexes to meet client requirements, including indexes for mounting on websites.
Along the way we will touch on other software and utilities that either work directly with CINDEX or complement its features and functions. We will not provide an in-depth demonstration of the different software programs, but introduce ways in which you can incorporate them into your CINDEX workflow. (These complementary softwares include Adobe products, Microsoft Office Excel, TExtract, DEXembed, WordEmbed, EntryExpander, EasyAccents, IndexCheck and HTML/Prep)

WS02: Principles of Indexing

Learn the foundational principles of indexing and how to apply them effectively and profitably in this highly informational and dynamic workshop. Whether you're starting your indexing career or just looking for formal instruction, this workshop will fortify you as an indexer and (even more important) an index-thinker. Starting with the Three Easy Steps of Indexing, Seth leads participants to understand the logic and challenges behind all indexing decisions: topic inclusion, subheading construction, page numbers and cross references, language selection, sorting, and usability concerns. Lively in-class discussion is encouraged, and additional topics (tools, careers, deadlines) will be introduced upon request. Hands-on examples are provided, with discussion extending into the indexing of non-print content. Participants will learn how to find balance between the needs of client, indexer, and readers.

This workshop will provide the additional information and some of the practice needed for those with indexing or library science backgrounds to start working on creating taxonomies and thesauri. WS04: On the Ground Sky Indexing

This presentation will examine the features of Sky Indexing as they are used in producing a real index. The example index will be presented in stages, illustrating which features are most useful at each stage. This will include setting up the file, tricks for entering data, entering locators and cross references, core editing commands, file management, editing the index, and formatting the index. Although the presentation will provide the essentials for users new to Sky, the emphasis will be on introducing the full spectrum of features that are commonly used in creating an index.

Seminar 4: Peer Recognition Awards for Excellence in Indexing

Beyond the Wilson award, ASI provides no opportunity for peer awards for recognizing excellence in indexing. I feel this is a sad situation. This presentation will describe a method that could be used for soliciting, judging, selecting, and recognizing a "best" index from the submissions entered within a defined (subject matter) category. Such an award program could be implemented by individual SIGs or could become a new ASI committee.

Seminar 6: DEXembed, WordEmbed, and Word Indexing - From the Front Lines

Learn lessons from a series of recent projects in the CUP environment about what works and doesn't work so well with each of these programs. For instance, which program works well with DEXembed and which one grinds to a halt, Word 2007 or Word 2010? Is it possible to use both WordEmbed and DEXembed on the same project? Why would you want to do that? Learn ways to make Word behave as a real indexing program. Learn about locator specificity and understand how that applies to each of the three programs. Bring your questions and let us know in advance what you would like to have discussed. We intend for this to be a real working, thinking session. We won't have all the answers but we will tell you how we have approached that problem or situation - or how we would approach it given past experience with similar situations.

Seminar 5b: Indexing for the Long Haul

For over fifty years, the Adams Papers editorial project at the Massachusetts Historical Society has been publishing the diaries, correspondence, and other writings of John and Abigail Adams and their extended family-forty-five volumes to date-with a goal of making these materials as widely accessible as possible. For most readers, the volumes' indexes have been and will continue to serve as the first point of entry to these rich and important documents. But how do you balance consistency of indexing with evolving standards and changing staff members over a half century? And how do you develop indexes that will be useful to readers not just for today but for another century to come? This talk will discuss how the Adams Papers staff have approached their indexes over the years, how we manage the process itself and how our thinking about the indexes has developed, especially as we work toward digital presentation of material and online cumulative indexes.

Seminar 09: History Indexing: Bringing the Past into the Future

History is an indexing specialty that crosses disciplinary boundaries, embracing subspecialties as diverse as archaeology, the arts, geography, politics, technology, science, and warfare. Members of the History/Archaeology SIG will discuss topics ranging from the different types of history indexes (scholarly works, trade books, textbooks) to the characteristics of a high-quality history index. We'll touch on indexing primary source documents, indexing for children and teens, the background and skills needed for this specialty, and working with author/clients. Names such as Bartolome del Bono - one reference says list him as "Bono, Bartolome del," but the author refers to him as "Del Bono" though in his book "del" isn't capitalized - yes, of course, claro que si, Spanish can be confusing!
This workshop with veteran Latina indexers will talk about the Spanish-language indexing market, rates and indexing conventions for Spanish-language materials, indexing Hispanic names and other issues in Spanish such as handling prepositions, Spanish writing style and wordiness (did you know Spanish uses 20% more words than English to say the same thing?), and more.

Seminar 18: Hunting the Elusive Wilson - Part I

This two-part session will review the index evaluation criteria for the H. W. Wilson Award for Excellence in Indexing. What do the criteria mean? How can they be applied in our day-to-day indexing? We ask those who sign up to commit to participating in both parts of this presentation, as they are designed to work together. In this first part, we will review the criteria, looking at examples. Seminar 19: Saving Time with Regular Expressions

Regular Expressions (or Regex) is a method for matching strings of characters in text-based software programs. It is much like using wildcard symbols in search and replace operation. This workshop will explore ways to use Regex to prepare index data for importing into indexing software. It arises from interest in an article I wrote describing this process. The basic rules of Regex will be outlined and then applied to concrete examples. The goal is to be able to convert a pdf proof set to text and then import data from it into the index.

Seminar 22: Bend and Stretch: Reach for the Stars
Repetitive stress injuries threaten many careers, and indexers aren't immune. Stiff necks, sore thumbs, and elbow or shoulder issues are problems that might seem minor at first but can quickly escalate. This presentation guides participants in simple stretching exercises recommended by experts to prevent muscular microtraumas that can accumulate and lead to serious trouble. Also included is information on lighting, seating, desk and chair height, and equipment, all chosen with neutral ergonomics in mind.

Seminar 28: Real-Life Marketing

Two indexers will describe how they established their businesses and how they maintain them in the current economic conditions. Bonnie Hanks will present a step-by-step process of how she entered the business of indexing, how she marketed herself when she started her business, and how she markets herself now that she is established. Over the past five years, Sarah Schott has been able to build a successful indexing business. Without any real samples or indexing work experience, Sarah was able to land indexing jobs almost immediately after finishing the indexing course at NYU. She believes in constant marketing and has gained a steadily growing client base. In 2010, her efforts allowed her to leave the corporate world and begin indexing full time. She will tell her story and share the methods, tips and tricks that she has found to be effective in her ongoing quest to snag new work.

Seminar 30: On-line Help Indexing in Adobe RoboHelp

In this session, learn how to use Adobe RoboHelp, a program used by technical writers to create online help, to create online help indexes. We encourage you to follow along on your laptop. If you do not have Flare, you can download a free trial version from Adobe's website. Cheryl will provide students who register further instructions on downloading the software before the conference. At the workshop, you will receive a handout, similar to a step-by-step user's manual, so that you can practice the information you learned at home.

Trolley Tour of Providence
